Electronic Archiving Policy

ELECTRONIC ARCHIVING POLICY

1. Policy Statement

The Indonesian Journal of Community Service in Education (IJCSE), published by PT. Intelektiva Global Nusantara, is committed to maintaining the long-term preservation, accessibility, authenticity, and integrity of its published scholarly content.

As a scholarly journal specializing in educational community service and community engagement, IJCSE recognizes the importance of preserving documented community service initiatives, educational interventions, implementation results, scholarly analyses, and related publication records.

The journal supports reliable electronic archiving and digital preservation approaches intended to protect published content against data loss, technological failures, website disruption, platform migration, and potential discontinuation of journal operations.

2. Preservation Objectives

The journal's electronic archiving policy aims to:

  • Preserve the official Version of Record of published community service articles.
  • Maintain long-term access to educational community engagement scholarship.
  • Protect published article files and bibliographic metadata against accidental deletion or system failure.
  • Support recovery of preserved content if the primary journal platform becomes permanently unavailable.
  • Maintain the authenticity and integrity of published scholarly records.
  • Protect the continuity of documented community service knowledge and educational innovations.
  • Support sustainable dissemination of educational community engagement practices.

3. Digital Preservation Systems

PKP Preservation Network (PKP PN)

The PKP Preservation Network (PKP PN) is a digital preservation service developed by the Public Knowledge Project for eligible journals published through Open Journal Systems (OJS).

The network supports long-term preservation through distributed archival nodes and is designed to protect published scholarly content against loss of access through the original publishing platform.

IJCSE recognizes PKP PN as a relevant mechanism for preserving OJS-based scholarly publications. Participation and successful content preservation depend on applicable technical eligibility, plugin configuration, preservation agreements, and verified deposits.

PKP Preservation Network Information
LOCKSS — Lots of Copies Keep Stuff Safe

LOCKSS is a distributed digital preservation system designed to maintain multiple copies of scholarly content across participating archival locations.

Through independent preservation copies, LOCKSS technology helps reduce the risks of data loss, file corruption, technological failure, and disruption of access to scholarly materials.

The IJCSE OJS LOCKSS gateway provides an archiving manifest that may support collection by compatible preservation systems. Availability of this gateway does not by itself confirm active preservation of the journal's content.

CLOCKSS — Controlled LOCKSS

CLOCKSS is a community-governed digital preservation infrastructure that provides long-term protection for scholarly publications through geographically distributed archival nodes.

The preservation model supports the future availability of scholarly content when defined publication-loss or access events occur, subject to the applicable arrangements and recovery procedures.

The IJCSE CLOCKSS gateway provides the journal's archiving manifest. Actual CLOCKSS preservation requires an applicable agreement and confirmation that content has been archived successfully.

4. Preserved Content

Subject to the capabilities and configuration of the relevant preservation systems, IJCSE electronic archiving may include:

  • Full-text Community Service and Community Engagement Articles.
  • Official publication files and associated scholarly materials.
  • Article titles, abstracts, keywords, and bibliographic metadata.
  • Author names, institutional affiliations, and publication information.
  • Digital Object Identifiers (DOIs) and citation information.
  • Journal volumes, issues, publication dates, and tables of contents.
  • Educational materials and supplementary files formally published through the journal platform.
  • Published corrections, retractions, and post-publication notices.

Confidential participant information, unpublished personal data, private editorial correspondence, and reviewer reports are not included in publicly accessible archival content.

Supporting materials involving identifiable community participants, photographs, or personal information must comply with applicable consent, privacy, and publication ethics requirements.

5. Distributed Preservation

Distributed preservation reduces reliance on a single server, geographic location, or institution. Maintaining authenticated copies through independent preservation nodes helps protect published educational community engagement scholarship against technical failure, accidental deletion, cyber incidents, and organizational disruption.

6. Website Continuity and Content Recovery

If the IJCSE website experiences technical failure, temporary disruption, platform migration, or permanent discontinuation, the journal seeks to maintain the recoverability of its published scholarly content through appropriate preservation arrangements and available backups.

For content successfully archived through distributed preservation systems, restoration or future public access is subject to the applicable service procedures and preservation status. Temporary website interruption does not automatically make privately preserved archive copies publicly available.

7. Backup and Platform Migration

IJCSE and its publisher support appropriate administrative and technical measures intended to safeguard the continuity of electronic publishing operations, including:

  • Periodic backup of journal databases and publication files.
  • Secure storage and management of publication metadata.
  • Verification of article files, links, and bibliographic records.
  • Planning for OJS software upgrades and platform migration.
  • Restoration procedures in the event of data loss or technical disruption.
  • Monitoring preservation services, plugin status, and available deposit records.

External preservation of published articles is distinct from routine backup of the OJS database, editorial records, accounts, settings, and other operational information.

8. Preservation of the Version of Record

The final, officially published article available through the IJCSE website constitutes the Version of Record.

Corrections, expressions of concern, retractions, and other post-publication updates will be transparently linked to the relevant original publication and maintained as part of the journal's scholarly record in accordance with the applicable editorial policies.

9. Access, Authenticity, and Integrity

IJCSE supports preservation practices that maintain the authenticity and integrity of scholarly publication records. Where supported by the applicable systems, preserved files may be checked against the original publication to identify unauthorized modification, corruption, or file loss.

Routine public access to the journal's articles is provided through its website according to the journal's open-access and licensing policies.

10. Preservation Monitoring and Verification

Installing a preservation plugin, activating a compatible OJS archiving gateway, or displaying the name of a preservation network does not independently establish that journal content has been successfully preserved.

The editorial and technical teams should verify active preservation using applicable plugin status information, completed deposit records, official preservation service confirmations, or other appropriate evidence.

Claims of active PKP PN, LOCKSS, CLOCKSS, or other preservation coverage should be published only when corresponding participation and preserved content have been verified.

11. Policy Development

IJCSE may improve and expand its electronic archiving strategy as new preservation technologies, scholarly repositories, institutional collaborations, and internationally recognized digital archiving services become available.

Commitment to Long-Term Preservation

IJCSE is committed to preserving educational community service scholarship through responsible digital archiving, appropriate distributed preservation mechanisms, secure publication records, platform backup strategies, and transparent post-publication updates to support future access to community engagement knowledge and practices.
